What Does a TC do?

Contract

  • Thoroughly review contract and send critical dates/deadlines to all parties.
  • Send executed contract and applicable addendums to all parties.
  • Correct any discrepancies on contracts and/or addendums.
  • Contact all parties via introductory emails sent by us a member of our team.
  • Process compliance and ensure commission disbursement as issued prior to closing.

Inspections

  • Can schedule inspection and confirm with all parties if requested.
  • Coordinate the execution of the repair amendment (no repair negotiation and based on Realtor’s written wording).
  • Monitor progress on repairs and ensure all terms are satisfied.

Financing

  • Confirm buyer’s lender has receipted copy of contract.
  • Follow up with lender on the status of the loan and all deadlines are met.
  • Confirm clear to close with lender

Condominums/HOA

  • Request copies of condo docs and ensure delivery to buyer(s)/Buyer’s agent.
  • Confirm HOA docs are ordered or delivered by deadline per the HOA addendum.

Title

  • Submit contract with all addendums to open new file.
  • Request/verify seller provided survey and/or ensure a new survey is ordered as needed.
  • Make sure there are no issues with title commitment
  • Ensure Home Warranty is ordered, and invoice send to title is applicable.

Closing

  • Deliver DA (Commission Disbursement) to title prior to closing.
  • Schedule and/or confirm final walk through and can send buyer final walk through to sign before closing.
  • Ensure buyers/sellers receive utility information to transfer services before closing.
  • Confirm CD and CTC is confirmed by title and lender.
  • Confim final cash amount and wiring instructions are delivered to buyer.
  • Ensure that all parties know where to leave and/or pick up keys once funded.

Pre-Closing

  • Check on final funding Ensure title knows what to do with Realtor commission (check, wire, etc)
  • Email clients that it has funded.

  • Includes Price Changes: in MLS, Facebook, Realtor.com, Zillow & Trulia as well as any office rejection for compliance corrections.

Listing management services are paid once the listing is made active in MLS. This is a separate service from the contract to close.

Draft Offers and Buyer Docs

Create required buyer docs and draft offer as instructed while you are out in the field. This is charged per address. Requires written approval before sending to client. Billed upon completion of signed offer. This is per address with up to 3 updates to same offer.

This is billed once completed and whether or not it is accepted or not.

Contract to Close

  • Can draw up and send required buyer documents before a contract, if needed via Dotloop, DocuSign for electronic signature.
  • Send email to all parties to introduce myself as your transaction coordinator.
  • Send a transaction summary of the file
  • Set up receipt of contract with the title company, checks picked up, etc.
  • Verify all documents are properly executed by all parties.
  • Confirm with a listing agent how option check is to be handled.
  • Set up inspection/pest with the buyer and your preferred vendors.
  • Maintain a calendar of deadlines and events, as well as send email reminders.
  • Draw up and send amendment based on your express written verbiage. (Will not negotiate).
  • Turn all paperwork into the office for review/compliance in systems such as KW Command, Skyslope, Transaction Desk and more.
  • Correct any issues from a compliance review.
  • Make sure DA is received and correct by title.
  • Follow up on loan approvals.
  • Confirm and verify appraisal, a survey has been ordered.
  • Keep up to date with listing agent on completion of repairs, receipts.
  • Make sure HOA documents are received if applicable
  • Order buyer's choice of home warranty if applicable
  • Make sure the lender has all required documentation
  • Make sure Title commitments are received and if there are any issues, such as liens.
  • Send Client directions to the title company.
  • Schedule buyer closing with client and title.
  • Order closing gift if needed.
  • Upload and disseminate all documents, reports, and disclosures; provide follow-up.
  • Throughout the process, I will also make sure that:
  • Send an intro letter/email to client, cooperating agent, title to let them know I am the transaction coordinator.
  • Keep you updated of important dates, issues, etc.
  • Additional personal touches that we can cultivate together to make sure that the transaction is still personal.

Hand Addressed Envelopes

Want a personalized marketing experience for your clients or potential leads? Hand addressed envelopes delivered to your office once completed. Folding and stuffing envelopes can be done as well as return address labels if desired. Supplies can be provided or can be purchased and added to the final total. ** 35-40 envelopes addressed on average per hour. Price based per hour.
